These Terms and Conditions apply to all participants (you, your organisation, or your group) attending this event organised by ISANA.

By registering for or participating in the event, you agree to these Terms and Conditions. If you register on behalf of another person, it is your responsibility to ensure they are aware of these terms.

An in-person event is held onsite at a venue, an online event is hosted via the internet, and a hybrid event includes both onsite and online participation options.

Payments

Full payment of applicable registration fees is required at the time of registration and must be made by credit card.

Conference Updates

All event updates and participant information will be sent electronically to the email address provided during registration.

Credit Card Payments

Credit card transactions will appear as “ISANA” on your statement. Payments are securely processed through ANZ’s PCI-compliant eGate platform. ISANA does not store or transmit your credit card details.

Registration Inclusions

Each registration category specifies its inclusions. Any additional costs related to participation are the responsibility of the participant.

Participants attending online must not share, sell, transfer, or distribute access details without prior approval. ISANA reserves the right to cancel access without refund if this policy is breached.

Insurance

Registration fees do not include personal insurance. Participants are advised to obtain appropriate insurance coverage. ISANA is not responsible for losses, damages, theft, cancellations, postponements, or changes related to the event.

Registration Cancellation

  • Cancellations made more than 60 days before the event are eligible for a full refund for online credit card payments.

  • In other applicable cases, a $150 administration fee may apply.

  • Cancellations made within 60 days of the event are non-refundable; however, registrations may be transferred to another participant.

Moving to an Entirely Online Event

If ISANA determines that an onsite or hybrid event must move entirely online, all registrations will be transferred to the equivalent online format. Participants will receive a refund for any fee difference between onsite and online registration categories. Full onsite refunds will not be provided.

Cancellation or Postponement of an In-person Event

ISANA is not liable for travel, accommodation, or other expenses incurred if the event is cancelled or postponed due to circumstances beyond reasonable control, including but not limited to:

  • Natural disasters

  • Infectious disease outbreaks

  • Government restrictions

  • War or terrorism

  • Civil unrest

  • Transport disruptions

  • Service provider failures

  • Emergencies or unforeseen events

Changing Participation Type

Where online participation is available:

  • Changes from onsite to online up to 30 days before the event may receive a refund for the fee difference.

  • Changes from onsite to online within 30 days are not eligible for refunds.

  • Changes from online to onsite can be made up to 5 working days before the event, subject to venue capacity and payment of any fee difference.

Requests must be submitted via email to Conference Design.

Technical Disruptions

ISANA reserves the right to modify presentation times, formats, or schedules due to technical issues including internet outages, software failures, equipment problems, or power disruptions.

Alternative viewing arrangements may be provided where possible. Refunds will not be issued due to such changes.

Event Changes

ISANA reserves the right to modify any aspect of the event, including:

  • Program content

  • Speakers

  • Venues

  • Session times

  • Event format

  • Themes and activities

Code of Conduct

All participants must comply with the event Code of Conduct. ISANA reserves the right to refuse or remove participation from any individual or organisation whose behaviour negatively impacts the event or other attendees.

Intellectual Property

All event materials including presentations, slides, posters, papers, abstracts, videos, and related content remain the intellectual property of ISANA or the respective presenters/authors.

No content may be copied, reproduced, recorded, photographed, distributed, or transmitted without prior written permission.

Photography and Video

By registering for the event, participants consent to photography and video recording for promotional purposes including websites, social media, and marketing materials.

Participants who do not wish to appear in media content should notify event staff at the registration desk.

Visas

Participants are responsible for obtaining any required visas. ISANA may delay confirmation of participation or presentations until a valid visa has been obtained where applicable.

Terms for Presenters, Panel Members, and Moderators

Recording and Publication

Presentations and discussions may be recorded or published by ISANA or approved media representatives.

Participants must notify ISANA in writing within 24 hours if any content should not be published or reported.

Media Presence

Approved journalists may attend sessions in an official capacity. Journalists are not required to obtain participant approval before publication; however, ISANA may request feedback on media content where appropriate.

Consent to Use of Likeness

Participants grant ISANA permission to use their name, image, and statements in promotional and media materials.

Liability

Participants are solely responsible for the content of their presentations and discussions.

Closed Sessions

Certain sessions may be designated as closed sessions for delegates and approved press only, particularly where sensitive topics are discussed.

Terms for Approved Journalists

Approval and Accreditation

Only journalists approved by ISANA may officially cover the conference and must display their press pass at all times.

Recording and Reporting

Approved journalists may record sessions for reporting purposes unless otherwise advised by ISANA.

Confidentiality

Journalists must respect confidential or sensitive information shared during the event.

Approval of Articles

Media content may require ISANA review before publication to ensure accuracy and appropriateness.

Conduct and Liability

Journalists must comply with the conference Code of Conduct and remain responsible for their published content.

Governing Law

These Terms and Conditions are governed by the laws applicable in ACT, Australia.
